The challenge

Every system knew its own status. Nothing knew all of them

HEMA ran multiple systems across its channels. Each held part of the picture. None of them held a single, real-time view of order status and stock.

That limits flexibility. If you cannot see where the stock is, you cannot choose the cheapest or fastest place to fulfil from.

It also costs time. Problems surfaced late, and a problem found late in a fulfilment chain is a delayed order or a cancelled one. The customer notices first.

The systems were all there, and so was the integration layer. The order flow had never been brought together on top of them.

What we did

Every system reports into a consolidated solution

We integrated all of HEMA’s channel and fulfilment systems with the Order Management System, through the custom-built integration layer HEMA already runs. No new platform in the middle.

01

Follow the order

We mapped how an order moves through every channel and every system, and where it stops being visible.

02

Connect through HEMA’s own layer

Each system got a clear contract with the OMS, carried by the integration layer HEMA built and owns.

03

One order view, stock in real time

Orders from all channels land in one central view, with stock synchronised as it moves. One place to look, one set of numbers.

04

Leave room for the next change

Systems get replaced. The integrations are built so a system can be swapped without the order flow being rebuilt around it.

The result

The whole chain, end to end

End-to-end view
Full transparency across the fulfilment chain, so issues are detected early
Cancellations & delays
Significantly reduced across the order flow
Cost & lead time
Better data insight lets HEMA optimise delivery costs and lead times
Promotions & stock
Smarter decisions on promotions and where stock is allocated

The shopping experience is more reliable because the operation behind it can see what it is doing.

Fulfilment options

Three ways out, one decision

With stock visible in real time, the OMS can pick the route per order instead of per channel.

Pick from store

The store closest to the customer, or the one holding the last item, picks the order.

Warehouse fulfilment

Volume goes the efficient way, with the warehouse working from the same stock figures as the stores.

Click & collect

Ordered online, picked up in a store, with the same order visible to the staff behind the counter.

What we delivered

The integrations, and what they carry

Four parts, all of them running across the channels.

System-to-OMS integrations

Every channel and fulfilment system connected to the Order Management System through HEMA’s custom-built integration layer.

Centralised order view

Orders from all channels in one place, from the moment they are placed to the moment they are handed over.

Real-time stock synchronisation

Stores and warehouse working from the same figures, so a fulfilment decision is made on stock that is actually there.

Support for three fulfilment routes

Pick-from-store, warehouse fulfilment and click & collect, all on the same order flow.

Bram Bruinsma, HEMA

“A cancelled order is almost never a stock problem. It is a visibility problem that showed up too late to fix.”

What we brought

Engineers who already work in this landscape

We work inside HEMA’s integration landscape across price, stock and store operations. Order management is one more flow in a system we already know.

Integration engineering

Channel systems on one side, an OMS on the other, and integrations that hold when either side changes.

Retail operations sense

Optimizing lead and delivery times for orders has huge impact on customer satisfaction. We optimized the flow to allow for the best allocation.
