The challenge

A briefing you write once every few years

BeatzDigital advise marketing organisations on their media and help them find the right agency to run a campaign. That choice starts with a briefing, and the briefing is hard work. Target audience, media mix, objectives, budget, the numbers the campaign will be judged on, all of it pulled together from sources that sit in different corners of the business.

The people writing it are often relatively new to the game. An agency contract runs for a few years, so a marketing team briefs a new one every few years at most. Nobody gets to build the routine. The founders of BeatzDigital have done it many times over, and that experience sat with them.

The better the briefing, the better the pitches that come back, and the better the campaign that follows. So they asked us to put their expertise in a product any marketer could use.

What we did

Model the expertise, then build around it

A chat window on top of a language model would have produced generic briefings. The value sits in what BeatzDigital know, so that is what we modelled first. The agent asks what they would ask, in the order they would ask it.

Set up the Azure landing zone

Before the product, the ground it stands on. Policies, budget guardrails and secure storage for briefing documents, inside their own subscription.

Model the domain knowledge

We went through their templates and their judgement with them, and turned both into a structure an agent can follow step by step.

Benchmark the models

Claude Sonnet, Claude Opus, Grok and ChatGPT, tested against the real briefing tasks. Each task got the model that did it best.

Build the agentic framework

The agent reads what the user wrote, scores it against the model of a good briefing, proposes what is missing and guides the next step.

Build the interface around the document

Bring an existing briefing in, edit it where you read it, and accept or discard every suggestion the agent makes. The document stays the user's.

Open it up to collaborators

Microsoft Entra handles identity, so a BeatzDigital consultant and their client work on the same briefing, with permissions per project.

Speed is the number people notice first. The quality is the bigger change. Briefings that come out of the tool are more complete, the objectives are specific and measurable, and the gaps an experienced eye would have caught are caught before the document goes out. A marketer who has never briefed an agency now sends something a senior would recognise, which means less back and forth with the agencies and a sharper pitch coming back.
